Videoconferencing is typically used for focus groups, sometimes in multiple locations. A group session might work like this: The creative director for a New York ad agency and a product manager in Chicago each bring several key people to a conferencing center in their respective cities to view a focus group being conducted in Seattle.

The technology also permits fully interactive conversation and picture before, during and after the focus group. Before the session begins, an interactive briefing is conducted among the three sites, during which the discussion guide is reviewed and any new thoughts are introduced. Then the session begins, with the New York and Chicago participants watching.

Halfway through, the new ads are introduced. At the break, the moderator goes back to the interactive mode and all three sites discuss possible copy changes. As a result the product manager has some new questions he wants to introduce and faxes ad copy changes to the group in progress to get its' response. At the conclusion, a debriefing is conducted among the three sites, and any final changes are agreed upon.

Costs for such a session can range from $350 to $550 an hour for rental of the rooms in which to stage the videoconference. Phone line charges begin at $24 per hour, based on the level of service and time of day. And costs can be mitigated by using certain videoconferencing networks and room booking costs can be reduced as well.

The technology to accomplish this exercise is based on digital transmission of video over special phone lines and has existed for the past few years. In fact, it's in use by large corporations across the country, but only recently has the price become low enough for smaller companies to take advantage of it.

How to Choose A Videoconferencing Supplier

In considering videoconferencing, there are questions you need to ask when you consider which site or company you choose to handle your videoconferencing needs. Focus groups require even more careful consideration.

1. Is Security An Issue? How likely is it that competitors might hear or see those participating or see products or materials used in the conference? Can you encrypt the signal to ensure complete security?
2. Is a professional setting important? Are those in the conference clients or potential clients? Some copy centers now offer a similar kind of service. Is this setting appropriate to your meeting?
3. In the event of a multi-point conference, can the company provide a moderator to assist the administration?
4. How likely is it that your conference will remain on schedule at all sites? Some advertised public sites are, in fact, within large corporations, and subject to the needs and whims of those companies.
